InstaBud AI is operated by DigsFact, Inc. (“DigsFact,” “we,” “us”). This policy explains what we collect when you use the InstaBud AI mobile app or web portal (reports.instabud.ai) to generate property inspection (ROM) reports, and how we use it.
Information we collect
- Phone number — to send a one-time verification code and to text you when your report is ready.
- Photos and documents you upload (images, PDF, Word, Excel, ZIP) — used solely to generate your report.
- Report details you enter — project name, property location (ZIP or city/state), inspection date, the preparer name, and, when you fill them in, the date of loss, claim and policy numbers, and a client ID or name.
- Your name — the “Your name” field is required on every report. When you run a report for an organization, that organization's administrators see your name and phone number next to each report you ran (in its usage list) and in its member list. On ROM reports your name is also printed in the report's notes: next to your company's name when you run the report for an organization, on its own when you run it for yourself. It is not printed on the other report types.
- Purchases — when you buy report credits or an InstaBud Pro subscription. In the mobile app, payment is handled by the Apple App Store or Google Play (in-app purchase); on reports.instabud.ai, by the RevenueCat checkout. We use RevenueCat, a subscription service, to manage purchases and subscriptions on every platform. RevenueCat receives an app user ID — our internal account ID for you, a random code that is not your phone number or your name — linked to your InstaBud AI account and to your purchase history (what you bought, when, and your subscription's renewals and expiry). We store your subscription status and expiry date, your prepaid credit balance, and which free reports you have used. We never receive your card or bank details: Apple, Google, or RevenueCat's checkout and its payment processor handle the payment.
- Basic technical/usage data needed to operate and secure the service (e.g., request and error logs).
How we use your information
- To verify your phone number and secure your session.
- To analyze your photos and documents with automated AI and produce your ROM report.
- To notify you by SMS, with a link, when your report is ready.
- To show your organization who ran each report, and to print your name on ROM reports as described above.
- To process purchases and apply your credits and subscription to your account.
- To operate, maintain, and protect the service from abuse.
Service providers
We share data only with processors that help us run the service:
- Amazon Web Services — hosting, storage, and processing.
- Anthropic — AI analysis of your uploaded photos and documents to generate the report.
- Twilio — phone verification and SMS notifications.
- Google Firebase — App Check, to verify requests come from our genuine app and block abuse.
- Apple (App Store) and Google (Google Play) — in-app purchases made in the mobile app; they process the payment.
- RevenueCat — manages purchases and subscriptions in the app and on the web, including the web portal's checkout; it receives your app user ID and your purchase history.
We do not sell your personal information.
Data retention
- Uploaded photos and documents, and generated reports are deleted automatically about 30 days after they are stored. For a report run for an organization, that organization's retention period applies instead: 30 days, 90 days, 180 days, 1 year, 2 years, or 7 years. Because InstaBud AI is used in the insurance industry, an organization can keep claim-related records for up to 7 years to meet insurance regulatory, audit, and record-keeping obligations.
- Report records (the details you entered, your name, and the report's status) are deleted automatically about 7 days after the report's files. Our database backups can hold a copy for up to 35 days after that.
- Your sign-in record (phone number and internal account ID) and your purchase record (subscription, credit balance, free reports used) have no automatic deletion date.
- An organization's usage and member records (for each report run for it: who ran it, by name and phone number, the project name, the report type, and the date) are its billing and membership records. They have no automatic deletion date and are deleted when the organization's account with us is deleted.
Security
Data is encrypted in transit (HTTPS) and at rest. Access is restricted to the systems that generate your report.
Account deletion
You can delete your account at any time. In the mobile app, open the account menu (top-right of the home screen) and choose Delete my account; on the web you can request deletion via the account & data deletion page. Deleting your account signs you out of the app and removes your reports from your report history straight away, so they are no longer accessible to you. The records listed under Data retention are then deleted on their own schedules, not straight away; the account & data deletion page lists exactly what is removed, what is kept, and for how long.
A ROM report you ran prints your name in its notes. Deleting your account does not remove your name from ROM reports already delivered, nor from an organization's usage and member records. It also does not cancel an InstaBud Pro subscription: cancel it in your App Store or Google Play subscription settings, or email us for one bought on reports.instabud.ai.
Your choices
To access or delete your data, contact us and we will respond within a reasonable time. The service is intended for business/professional use and is not directed to children under 13.
